Visitor management

CheknOps

Visitor check-in, checkout, kiosks, notifications, and visitor history.

Common tasks

Activate a kiosk device

Administrator: open Sites, create the activation code, then enter it on the kiosk browser/device. Once authorized, leave the device on the visitor Check In / Check Out screen.

Check a visitor in

Choose Check In, enter the required information, choose a reason for the visit, and check in. If the visitor does not know who they are visiting, that optional field can be left blank when the site is configured that way.

Check a visitor out

Choose Check Out. Search for the visitor by name and select the matching checked-in visitor, or use the visitor checkout code when that method is enabled.

Review visitor history

Open Visitors in the administrator area to review visit records and exports. Analytics provides visitor metrics.

Common problems

The kiosk asks for an activation code

The kiosk browser/device needs administrator authorization. An administrator should create the activation code from Sites and enter it on that kiosk. This is not a visitor check-in step.

The visitor does not know who they are visiting

If your site has that field configured as optional, leave it blank and continue with the required visitor information.

The internet connection is down

An already opened and authorized kiosk can continue supported offline check-in and checkout activity. Queued activity synchronizes when connectivity returns. Do not clear browser data while offline activity is waiting to sync.

An arrival or departure email was not received

Confirm the configured email recipient, check spam or junk mail, and test delivery from the Email settings area.

Security operations

GuardReady Ops

Guards, sites, shifts, activity, incidents, vehicles, reporting, and field operations.

How to get started

1. Set up your operation

From Management, open Setup & Configuration. Add your sites, guards, vehicles, and reporting email recipients.

2. Configure each site

Open Site Configuration and choose the activities guards should be able to log at that site. Save the changes.

3. Prepare guard access

Add each guard and complete their Guard ID and PIN setup. Initial account setup requires an internet connection.

4. Run the field workflow

A guard starts a shift, records activities or incidents during the shift, and ends the shift when work is complete.

Common tasks

Add or manage guards

Management → Setup & Configuration → Guards.

Add a site or choose its activities

Use Sites to manage locations and Site Configuration to choose which activities guards can log at each site.

Start or end a shift

From the GuardReady Ops field screen, use Start Shift or End Shift.

Review activity, incidents, hours, and reports

Use Management → Operations for field history and Management → Reports for summaries, weekly hours, and exports.

Common problems

A guard cannot sign in

Confirm the company code, Guard ID, and PIN. If a PIN reset is required, complete that step while online. An administrator can assist through guard management.

An activity is missing

An administrator should check Site Configuration and confirm that activity is enabled for the guard's site.

The internet connection is down

Previously signed-in guards can continue supported offline field work using cached company data. Supported activity synchronizes when connectivity returns. First-time sign-in requires internet.

A report email was not received

Check Reporting & Email for the recipient address and check the recipient's spam or junk folder.

Gym operations

DocGymOps

Members, memberships, attendance, kiosk check-in, staff, classes, and reports.

How to get started

1. Complete gym setup

Set your gym branding, site/location, membership plans, kiosk preferences, email settings, and administrator information.

2. Add staff and members

Add staff with the appropriate role, then create or import the members who will use DocGymOps.

3. Prepare kiosk check-in

Open kiosk mode on the device used at the front desk or check-in area and test a member check-in before normal use.

4. Review daily operation

Use the management screens for members, memberships, attendance, classes, staff, and reports.

Common tasks

Add or update a member

Open Members to add a member or update membership and account information.

Check a member in

Use kiosk mode for member check-in. Members can use the configured manual or QR/scanner workflow.

Manage staff

Administrators can add staff and control staff access from the management area.

Review attendance and reports

Use Attendance and Reports to review gym activity and operational records.

Common problems

A member cannot check in

Confirm the member exists, their status/membership permits check-in, and the kiosk has the current member information.

The kiosk is offline

Supported kiosk check-ins can queue while offline and synchronize when the connection returns. Avoid clearing browser data while queued check-ins are waiting to sync.

A staff member cannot access an admin feature

Confirm whether the account is ADMIN or STAFF. Some configuration and management functions are administrator-only.

How do I lock the tablet to DocGymOps?

DocGymOps can provide a kiosk-style application experience, but preventing someone from leaving the browser/app or seeing device controls requires the tablet's operating-system kiosk or app-pinning controls.
